As an Executive Assistant in Engineering, you’ll be responsible for keeping VPs and their pillars organized as we scale for growth. In this role, you'll work directly with your leaders to manage day-to-day administrative and operational needs, partner closely with their leadership teams, and collaborate cross-functionally within the broader Tech Org. As a strategic partner with an eye for identifying the gaps, you will drive processes, rhythms, and operate as a trusted partner across various stakeholders to drive outcomes. This is a full time role that will be held from our SF Hub. What you’ll do at Figma: Manage VP’s calendar, meetings, business travel arrangements, expenses, and inbox management Act as a delegate for the VP, signing off of expenses, PO approval, and various other tooling as needed with careful attention to internal policy Be a strategic thought partner to the VP and their leadership team with a focus on engineering operations, process, and long term planning Identify areas to optimize VP’s time and make recommendations in regard to time management, prioritization and business needs Drive leadership meetings by organizing the agenda, taking notes, and moving relevant action items forward Lead large scale planning for monthly and quarterly meetings, coordinating content and slides Organize in-person leadership offsites, including working with external venues and internal stakeholders Prepare and/or build materials for the VP within Figma and FigJam and Ad hoc project management We'd love to hear from you if you have: 6+ years of administrative or executive support experience, including direct support of senior leaders Experience supporting orgs of 150+ people An affinity for AI and a track record of using creative workflows to improve operational efficiency Comfort working in a fast-paced environment with frequent context shifts and last-minute changes Sharp prioritization instincts; you anticipate conflicts and tradeoffs and act on them independently While not required, it’s an added plus if you also have: An affinity for Figma and an interest in becoming an expert in our product Previous experience supporting technical or AI focused teams At Figma, one of our values is Grow as you go. Pay Transparency Disclosure Job level and actual compensation will be decided based on factors including, but not limited to, individual qualifications objectively assessed during the interview process (including skills and prior relevant experience, potential impact, and scope of role), market demands, and specific work location.
